Who we are
Diesel Decontamination Services CC (“DDS”, “we”, “us”) provides specialist fuel risk management: fuel sampling and analysis, tank cleaning, fuel remediation and ongoing fuel monitoring, from bases in Durban, Cape Town and Gauteng. DDS is the responsible party for the personal information described in this notice.
What we collect
We collect only what we need to respond to you and deliver our services:
- Enquiry details: your name, company, email address, phone number, region, the service you are interested in, the number of sites, and anything you tell us about your site.
- Client and site details: contact people, site addresses and access arrangements, tank details, service history, and sampling and laboratory results linked to your tanks.
- Business records: quotes, orders, invoices, payment details and correspondence.
- Site photographs: photos of tanks, samples and equipment taken as evidence for our reports. We do not intend to photograph people, and we avoid doing so where possible.
We do not ask for special personal information (such as health, religious or biometric information), and we do not knowingly collect information about children.
How we use it
We use your personal information to:
- respond to your enquiry and send quotes;
- plan and carry out site visits, sampling, cleaning and monitoring;
- prepare reports, risk registers and recommendations for your tanks;
- invoice, keep accounting records and meet our legal and tax obligations;
- keep you informed about follow-up work, review dates and service reminders.
We process your information because you asked us to (your consent when you use our enquiry form), because it is needed to perform a contract with you, because the law requires it, or because it is in our legitimate business interest to service your account. If we would like to send you marketing that you have not asked for, we will ask for your consent first, and you can opt out at any time.
How long we keep it
We keep personal information only as long as we need it for the purposes above, or as long as the law requires. Enquiries that do not lead to work are deleted when they are no longer needed. Client, site and financial records are kept for the periods required by tax and company law, typically five years after our last dealing with you, and tank history is kept for as long as we provide services to that site. After that, we delete or anonymise it.
How we protect it
We take reasonable technical and organisational measures to protect your information against loss, misuse and unauthorised access. These include an encrypted (HTTPS) website, password-protected systems and devices, limiting access to staff who need it, and requiring service providers to keep information confidential. If a security compromise affects your personal information, we will notify you and the Information Regulator as POPIA requires.
Website and cookies
Our website does not use advertising or tracking cookies, and we do not profile visitors.
- Theme preference: if you choose light or dark mode, your browser remembers that choice on your own device. It is not sent to us.
- Fonts: the website loads its fonts from Google Fonts, so your browser connects to Google’s servers, which receive your IP address. See Google’s privacy policy for how they handle it.
- Server logs: like most websites, our hosting provider automatically records technical information such as IP addresses and pages requested, used for security and to keep the site running.
- Enquiry form: details you submit are emailed to our team and are not stored on the website itself.
Your rights
Under POPIA you have the right to:
- ask whether we hold personal information about you, and request a copy of it;
- ask us to correct or update information that is inaccurate or out of date;
- ask us to delete information we no longer have a lawful reason to keep;
- object to us processing your information, including for direct marketing;
- withdraw your consent at any time, without affecting processing that has already taken place;
- lodge a complaint with the Information Regulator.
To make a request, contact our Information Officer using the details below. We may need to confirm your identity before acting on it, and we will respond within a reasonable time.
